Lotus Spaw LLC (“Lotus Spaw,” “we,” “us,” or “our”) operates the Lotus Spaw Agent integration for internal business purposes. This Privacy Policy explains how the integration handles information when connected to services such as QuickBooks Online.

1. Information the integration may access

When authorized, the integration may access business information available through connected services. For QuickBooks Online, this may include accounting records, financial reports, chart-of-accounts information, vendors, customers, expenses, purchases, invoices, payments, and other business-accounting data permitted by the authorization granted to the application.

2. How information is used

  • bookkeeping review and analysis;
  • financial reporting and management summaries;
  • expense and revenue analysis;
  • payroll-cost analysis when payroll data has been synchronized into QuickBooks;
  • identifying transactions or records that may require management review;
  • supporting internal business planning and decision-making.

3. Data sharing

We do not sell connected accounting data. Access is limited to authorized Lotus Spaw personnel, systems, and service providers used to operate the integration.

4. Credentials and access tokens

Authentication credentials and access tokens are treated as confidential and are stored in restricted systems used to operate the integration.

5. Data retention

Information may be retained only as reasonably necessary for business, accounting, security, troubleshooting, or legal purposes. Where practical, the integration relies on connected systems as the source of truth rather than permanently duplicating all connected data.

6. Disconnecting access

Authorized users may disconnect the integration through QuickBooks Online or by using the instructions on our Disconnect page.

7. Security

Lotus Spaw uses reasonable administrative and technical controls to restrict access to business information and integration credentials. No system can guarantee absolute security.

8. Changes to this policy

We may update this Privacy Policy as the integration changes.
